Born in a Working Bakery

It wasn't designed in a boardroom.
It was built in a bakery.

Operational Profit Matrix didn't begin as a software product. It began with a simple reality: when we started The Ketobolic Kitchen, we had to make every dollar count.

We found another way.

Our money needed to go into equipment, ingredients, packaging, labour and everything else required to get a bakery operating. The business software available at the time could be expensive, and we weren't willing to take money away from building the business to pay for systems that still wouldn't necessarily give us everything we needed.

Even our original point-of-sale system reflected that philosophy. We purchased the hardware and chose a system where our primary ongoing cost was the card processing rather than taking on another substantial software expense.

Then the bakery began to grow. The Ketobolic Kitchen went from a small home-based operation to a wholesale bakery supplying retailers throughout Nova Scotia. With that growth came problems that couldn't be solved simply by working harder or keeping another spreadsheet.

Recipes needed accurate costing. Ingredient prices changed. Inventory had to be tracked. Production had to match demand. Wholesale pricing had to protect margins. Labels had to be created and maintained. Orders became deliveries. Sales had to make their way back into the financial picture.

Daphne was living those operational challenges every day.
Robert began building the software to solve them.

Not as theoretical features for a product we planned to sell someday, but as practical solutions to problems happening inside our own business.

Over the years, those individual solutions grew into something neither of us had originally set out to create: Operational Profit Matrix.

What began as a way to solve the everyday problems of our own bakery became a connected business system shaped by years of real-world operation.

Today, OPM brings those lessons together for other businesses asking the same questions we once asked: What does my product really cost? What am I actually making on it? What do I need to produce? What inventory do I have? Where is my money going? And why aren't all of those answers connected?

  1. 1. First-Time Setup — The first person to open the app creates the Administrator account (username, password, and Administrator Password). You'll be asked to name this device once, then offered Google Sync setup.
  2. 2. Add Employees — Employees choose their own username/password, then the Administrator approves them with the Administrator Password.
  3. 3. Quick PIN Login — Once someone's signed into the device for real, tap Login in the toolbar to lock the screen behind a short PIN. Anyone on the team can enter their own PIN to identify themselves for what they do next, without a full sign-out — the app stays exactly where it was underneath. An Administrator or Manager can set or reset anyone's PIN from the lock screen. "Sign out of this device" on the lock screen is the only way back to the real sign-in screen.
  4. 4. Time Clock — Toolbar → Time Clock. Employees clock in/out and log breaks. Admins and Managers are salaried and don't appear in the clock-in list.
  5. 5. Add Stock Items — Go to Stock Levels → Add Item (Ingredients, Packaging, Cleaning). Use the search box to find items quickly as your list grows.
  6. 6. Create Products — Go to Recipe Manager → New Product → add name, yield, barcode, label #, shelf life, lead time, category, and BOM.
  7. 7. Log Production — On the dashboard, select a product, fill in batch details, assign employee, and commit.
  8. 8. Edit Batch — After production, click Edit on any batch to add Actual Yield and Waste.
  9. 9. Plan Delivery — Go to Wholesale Forecast or Retailer Accounts → click a retailer → Plan Delivery → choose date, adjust quantities by category.
  10. 10. Scan In/Out — Use the Scan Station to receive ingredients or ship finished goods.
  11. 11. Print Manifests — From the Delivery Calendar or Packing Station, print pick lists and driver manifests with tax adjustments and credits.
  12. 12. Backup & Smart Restore — Toolbar → Full Excel Backup downloads everything, in a form the app can read perfectly back in. Smart Restore only adds back whatever's missing — it never overwrites or removes anything you've already got, so it's safe to run any time you want to double-check nothing was lost.

All data is stored in your browser. If Google Sync is set up, syncing only sends what's actually changed. Export Excel backups regularly as an offline safety net.

  3. 2. Manage Tax Rates — Inside Business Settings → Add Sales Tax and Payroll Deductions using Templates or Custom.
  4. 3. Starting Balance — Dashboard → Click pencil icon on Bank Balance card → Enter amount.
  5. 4. Add Employees — Transaction Form → Employment Costs → Click "Add Worker" for payroll, or have them register their own login on the sign-in screen (you approve with your Administrator Password).
  6. 5. Record First Transaction — Select Master Type → Fill fields → Commit Line.
  7. Dashboard KPIs — Bank Balance, Tax Owing, Net Revenue, Outflows, Net Profit.
  8. Adding Items — Use + Add or Manage buttons beside dropdowns.
  9. Payroll Estimator — Forecast costs → Use Snow/Sick/Vacation buttons → Click Pay Period Ended.

  16. Forgot Password — Use one of your 5 personal recovery codes on the sign-in screen, or ask your Administrator to reset your account.

  1. 1. Open the App — First user automatically becomes Administrator.
  2. 2. Set up Administrator — Create your username, password, and Administrator Password. You'll be asked to name this device (e.g. your initials, or "Delivery Van") before Google Sync is offered — this only happens once per device.

  4. 4. Clock In — Tap Clock in at the top of the screen when you start work, and again to clock out. This is tied to whoever is signed into this device.
  5. 5. Start Delivery Day — Tap Start Delivery under Delivery Day to begin your route. From there you can Pause/Resume, run Route Estimation, and check My Day for a quick briefing of what's ahead.
  6. 6. Record Purchases — Use Purchase to log an expense by hand, or Scan Receipt to photograph a receipt and let the app read it for you. Both attach to a retailer from your Retailers List.
  7. 7. Sync & Backup — Tap Sync & Backup regularly to push your work to Google Sync. Smart Restore pulls a backup file back in for a date range you choose, and only adds back what's actually missing locally — it never overwrites or removes anything you've already got, so it's safe to run any time.
  8. 8. Recovery — Use Excel Backup or Google Sync recovery (both now require the Administrator Password before restoring any account — including the admin's own), or ask the Administrator to recover you directly from the Admin Panel.
  9. 9. Field Recovery — Employees have 5 pre-generated codes. Contact your Administrator for one if you can't reach them yourself.
  1. 1. First-Time Setup — The register connects to your suite's Google Sync and verifies your license first. If it's brand new, you'll land on Create Administrator — username, password, and an Administrator Approval Password you'll later hand to staff for their own registrations.
  2. 2. Add Employees — From the sign-in screen: "New employee? Register an account." They set a username/password and an existing Administrator's Approval Password to get approved — same shared roster as the rest of the suite.
  3. 3. PIN Login — Every real sign-in is followed by a PIN — set one the first time, enter it every time after. It's what actually shows up on receipts and reports as who rang up the sale. "Forgot your PIN?" lets a manager or admin reset it on the spot.
  4. 4. Ring Up a Sale — Search or scan a product into the cart, take payment (cash, credit, debit, gift card/certificate, or on-account for commercial customers), and Complete Sale. Standard checkout — nothing unusual here.
  5. 5. Employee vs. Manager Access — Manage Categories, the currency switcher, and most of Settings are visible but grayed out for regular Employees — Sales Managers, Accounts Managers, and Admins get full access.
  6. 6. Manager Override Codes — Some actions (like a price override) need approval — a manager or admin calls or texts the employee a code right then, entered on the spot, no need to walk over.
  7. 7. Gift Cards vs. Gift Certificates — Two different things: a Gift Card is sold and redeemed like any product. A Gift Certificate also tracks who it was bought for, so a lost physical copy doesn't mean a lost record. Both sync to the same shared Google Sheet as the rest of the suite.
  8. 8. Check Exchange Rate — Converts foreign cash into your store's currency using a live rate — checks two independent services automatically, so one going down doesn't break the feature.
  9. 9. Receiving a Delivery — For supply deliveries, not sales — scan items in or use AI Scan Receipt to read a delivery slip automatically, mark it Paid or On Account, and print a receiving slip.
  10. 10. Retailer & Commercial Accounts — Settle Account records a payment against what a commercial customer owes. Issue Goodwill Credit applies a direct account credit, printable or emailable as a certificate.
  11. 11. Reports — Pick a date range, click Generate for a plain-language AI summary on top of the real numbers, print or back up to Excel.
  12. 12. Time Clock — Shared kiosk-style tool — select your name from the list, and it shows the right action: clock in, start/end a break, or clock out.
